The controller responsible for your personal data is Axiom Intelligence Partners LLC, Wyoming, USA, United States. You can reach us about privacy at privacy@socraticflow.com.
2. Personal data we collect
- Email address — when you join our waitlist, ask to hear about updates, or contact us.
- Purchase information — for every tool, checkout is handled entirely by Stripe, our payment processor; Axiom Intelligence Partners LLC is the seller. Stripe collects your email address and payment details directly as part of its own checkout process. As the seller of record on Stripe, we can see your email address and purchase record within our Stripe account for support and refund purposes, but we never receive your full card number.
- Licence keys — when you unlock a tool, your browser sends the licence key and the name of that tool to a verification service we operate at app.edsmartly.com. We record that the key was checked and when, so that we can help you if a key stops working and so that we can see a key being shared far beyond one buyer. That check carries the key and nothing else: none of the figures, text or files you enter into the tool are sent with it, or at any other time.
- Usage and technical data — aggregate, privacy-friendly measures of site usage, and standard server logs kept by our hosting provider for security and reliability. Our page-visit measurement is cookieless: it sets nothing on your device and builds no profile of you. You can ask not to be counted from the notice at the foot of any page, and we will remember it.
- Questions you ask the assistant — the "Ask about SocraticFlow" box is the one place on this site where what you type does leave your browser. Your question is sent to a service we operate and on to an AI provider so it can be answered. We do not store the question: what is kept is a one-way fingerprint of it, used only to recognise the same question again, its length, and the answer that was given — so a repeat question can be answered without asking the provider a second time. Please do not paste confidential figures there; the tools themselves will analyse those without anything leaving your browser, which is the whole point of them.
- Which tools get used — we count anonymous actions, such as a tool being opened or a report being generated. Those counts are kept as daily totals per tool and nothing else: no identifier, no session, no time of day, and no way to tell one person’s two clicks from two people’s one. We never see, track or store the words or numbers you type into a tool.
- Communications — the content of messages you send us. A message sent with our contact form (your name, email address, organisation if you give one, the topic you choose and what you write) is also recorded, so that we can see it has been answered.
As noted above, we do not collect the data you enter into the tools themselves.
3. Purposes and legal bases
Where the EU or UK GDPR applies, we rely on these legal bases (Article 6):
- Waitlist and newsletter — your consent, which you may withdraw at any time.
- Delivering a report you purchased and providing support — performance of a contract.
- Securing, operating, and improving the site, and understanding aggregate usage — our legitimate interests, balanced against your rights.
- Answering a message you send us — our legitimate interests in replying to you and in keeping a record that we did, or performance of a contract where it concerns something you bought.
- Keeping records required by law, such as tax records for purchases — legal obligation.
- Any non-essential cookies or analytics — your consent.
4. Cookies and similar technologies
We keep cookies to a minimum and the tools work without them. Non-essential analytics load only after you accept them in our cookie banner. Full detail is in our Cookie Policy.
5. Who we share data with
We share personal data only with service providers who process it on our behalf and on our instructions, under appropriate contracts. These currently include Brevo (sending the email that a form submission produces, from within the European Union), Netlify (hosting and content delivery), Cloudflare (cookieless usage analytics, and the PDF library the tools load), Stripe (payment processing), Supabase (the database behind licence-key checks, the assistant’s answer cache and contact-form messages, in the European Union, Frankfurt) and Zoho (hosting our email: messages to our addresses on socraticflow.com, and our replies, in the United States). Forms on this site are handled by Axiom Intelligence Partners LLC on its own infrastructure rather than by a third-party form service. The address you give the waitlist or newsletter form is emailed to us and is not stored in any list or database; a message sent with the contact form is emailed to us and also recorded, as section 7 explains. Stripe collects your email address and payment details directly during checkout and never shares your full card number with us; we see your email address and purchase record for support, licensing and refund purposes. We may also disclose data where required by law. We do not sell your personal data.
6. International data transfers
Our providers may process data in countries other than your own, including outside the European Economic Area and the United Kingdom. Where they do, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or an adequacy decision. Contact us for further detail.
7. How long we keep data
We keep waitlist and newsletter data until you unsubscribe; purchase records for as long as required by law (for example, tax and accounting rules); and support correspondence for as long as needed to resolve your query and a reasonable period after. A message sent with the contact form is kept while it remains relevant to our correspondence with you, and is deleted automatically 24 months after our last contact; write to privacy@socraticflow.com to have it deleted sooner. We do not retain the contents of your tool sessions, because they never reach us.
8. Your rights
Depending on where you live, you may have the right to: access your data; correct it; erase it; restrict or object to its processing, including direct marketing and processing based on legitimate interests; receive it in a portable format; and withdraw consent at any time without affecting processing already carried out. To exercise any of these, email privacy@socraticflow.com. We will respond within the time limits set by applicable law.
If you are in the EEA or the UK, you also have the right to lodge a complaint with your local data protection supervisory authority. We would appreciate the chance to address your concern first.
9. California residents
If you are a California resident, the CCPA and CPRA give you rights to know, access, delete, and correct your personal information, and to opt out of its "sale" or "sharing". We do not sell or share personal information as those terms are defined. To exercise your rights, contact us at the address above; we will not discriminate against you for doing so.
10. Children
Our tools are intended for professional use and are not directed to children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.
11. Security
We use reasonable technical and organisational measures to protect personal data, including encryption in transit (HTTPS) and reputable providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Changes to this policy
We may update this policy from time to time. We will revise the date above and, for material changes, take reasonable steps to notify you, for example by email or a notice on the site.
